Creating and Managing Workspaces

What is a Workspace?

Workspaces are collaboration spaces in Onna that allow you to:

  • Connect and sync multiple data sources into one central location

  • Search across and share data sources

  • Export saved searches or entire data sources

While you are able to create sources outside of workspaces, we recommend that you connect data sources inside a workspace to keep your work organized around a single project or case. This also allows you the ability to control who has access to the workspace, the data it contains, and what actions they can take related to that data.

Creating a Workspace

Creating a workspace is the first step to start collaborating on your project. To create a workspace follow the steps below:

Step 1

You can begin creating a workspace in one of two locations:

a. In the navigation bar, select + next to 'Workspaces' (see fig. a)

b. From the 'Workspaces' page select + in the top right corner of the page (see fig. b).

Step 2

Next, you'll be taken to the 'Create a workspace' page. Here you will:

a. Name for your workspace. This is required to create a workspace.

b. (Optional) Enter a billing number.

c. (Optional) Add Onna users to share your workspace with.

d. (Optional) Adjust permissions for any Onna user you want to share the workspace with.

e. Click on the blue 'Create' Button

NOTE: You can add and manage members in your workspace after creation as well.

To make your workflow more efficient you're able to save any existing workspace as a template to use in the future

Once your workspace is created you can try adding a source to bring data in.

Viewing and Changing Workspace Details

You can view and, depending on your permissions within the workspace, update workspace details. To view and update workspace details follow the steps below:

Step 1

You can access workspace details from two places.

a. From the main workspaces page where you can find all workspaces you have access to you can click on the ellipses (...) to the right of the workspace you want to view details for and select 'View details' from the drop down that appears (see Fig. a

b. You can also view details for a workspace from within the workspace by clicking on the 'View details' icon in the upper right corner of the workspace screen. (see Fig. b)

Step 2

After clicking on 'View details' a details panel will appear on the right side of your screen. Below you will find a list of details you can view and/or update inside this panel.

Viewable Details

At the top of the panel you can view:

  • Workspace members

  • Your permissions within the workspace

  • Workspace name

At the bottom of the panel you can view:

  • Total size: How much data is stored within the workspace

  • Total files: How many resources exist within the workspace

  • Date added to Onna:The date the workspace was created

  • Last update:the date the workspace was last updated

Editable Details

Note: To edit details in a workspace you must have either 'Edit' or 'Manage' workspace level permissions.

Under the workspace name you'll find the following details that can be edited from the Details panel.

  • Billing number

  • Tags

  • Comments

  • Custom fields

Deleting a Workspace

Deleting a workspace permanently deletes everything it contains, including all sources and resources. Once deleted, such data cannot be restored.

When a workspace and its data are no longer needed, you can delete the workspace if you have manage permissions. To delete a workspace, follow the steps below:

Step 1

You can delete a workspace from two locations:

a. From the workspace list on the main workspace page, select the ellipses (...) next to the workspace. From the drop down that appears, select 'Delete' (see Fig. a)

b. From inside the workspace, select the ellipses (...), in the upper right hand corner of the screen. From the drop down

Step 2

After you select delete you will see a confirmation box appear. To continue deleting the workspace, click on the red trashcan icon.
