Once you’ve completed either a search in Onna you may want to move some of those files out of Onna. There are two options to get data out of Onna:
Export: If you need the metadata and/or have a large set of files you will want to export that data out of Onna. You can learn more about how to export from Onna in the “How to Configure and Download an Export” article.
Download Files From Search: If you just want a local copy of a file or have a small set of files, downloading the files directly from your set of search results is also an option.
To download a single file follow the steps below after you’ve run your search query:
Download from Search Results View
Step 1
Highlight the row of the file you want to download and click on the ellipsis to the right of the file name.
Step 2
From the dropdown menu that appears select ‘Download’.
Step 3
You’ll now see a pop-up appear indicating that the download is done and giving you options to view the file.
Download from File View
It is also possible to download a single file from inside the file view. To do so, follow the steps below:
Step 1
Click on the name of the file you want to view from your list of search results.
Step 2
From inside the file view window, click the download icon in the upper right corner of the screen.
Step 3
You’ll now see a pop-up appear indicating that the download is done and giving you options to view the file.
How to Download Specific Versions of a File
From inside the file view it is possible to see different versions of a file and download specific versions. To do so, follow the steps below:
Step 1
Once inside the file click on the ‘Extracted text’ section at the bottom left corner of the screen.
Step 2
Once the ‘Extracted text’ section has been expanded, you’ll be able to see the most recent version of a document. To see alternate versions, click the link to ‘View version differences’.
Step 3
A dropdown menu will appear with all versions of the document listed. From the dropdown, select the version you want to download.
Step 4
Once you’ve selected the version to download, you’ll click on the download icon in the lower right corner of the screen to download this specific version of the document.
How to Download Multiple Files
It is also possible to download multiple files from your search results. To do so, follow the steps below:
Step 1
From the list of search results, click on the file type icon (located to the left of the file name) for each file you want to download.
Step 2
Once you’ve selected all the files you want to download, click on the ellipsis to the right of one of those files.
Step 3
From the dropdown that appears, click ‘Download selected’.
Step 4
You’ll now see a confirmation pop-up appear letting you know that the download package is being generated.
Step 5
Once your download package is finished you’ll see a notification pop up next to the notification icon in the upper right corner of your screen. To access the download link, click on your notification icon.
Step 6
Find the notification from your list of notifications, and click on ‘Download’ in that message.
