How to Save a Search Query

Onna’s search functionality allows you to build complex queries to search across all your data. Rather than having to remember complex queries each time you want to look at the same type(s) of data, Onna allows you to save your search query. To save a search query, follow the steps below.

It is important to note that you cannot edit or rename a saved search. To do either of these things you will need to recreate the search.

Step 1

To begin, click into the search bar.

Step 2

Enter your search query into the search bar (a) and then click the blue search button (b) in the bottom right corner of the screen.

Step 3

After your search results have populated, click the ellipsis in the search bar.

Step 4

From the dropdown menu that appears click ‘Save query’.

Step 5

You’ll now see the ‘Save search query’ window appear. In this window, name your query in the ‘Search query name’ field (a). Then, click the blue ‘Save’ button (b).

How to Search Using a Saved Search

Once your search query has been saved you’re able to use that query in any location you have access to data in your site. To load a saved search, follow the steps below:

Step 1

To begin, click into the search bar.

Step 2

Click on the ‘Saved queries’ tab on the search page.

Step 3

Click on the row for the saved query you want to use to search. You’ll see this row turn blue (a). Then, click the blue ‘Search’ button (b) in the bottom right corner of the screen.

How to Share a Search Query and Manage Members

There may be times where you want to share a saved query after you’ve saved it, or remove access to a user you’ve previously shared a search query with. In order to share an existing saved search query and manage members with access, follow the steps below:

Step 1

To begin, click into the search bar.

Step 2

Click on the ‘Saved queries’ tab on the search page.

Step 3

Click on the ellipsis on the right side of the row for the search query you want to share.

Step 4

From the dropdown that appears, select ‘Share query’

Step 5

On the ‘Share query’ screen, enter the email of the member you’d like to share the query with in the ‘Add member’ field (a). Then, click the blue ‘Share’ button (b). Your query has been shared.

Step 6

To remove access after sharing a query, follow steps 1-4. Then, on the ‘Share query’ page, click ‘Manage members’ in the middle of the window.

Step 7

Now, on the ‘Manage members’ window you can click on the arrow to the right of the member you want to remove. By default they will have ‘View permissions’ (a). To remove, click on ‘Remove’ (b) from the dropdown menu. Then click the blue ‘Done’ button (c). That member will then be removed.

How to View a Search Query

When you have long queries it is not possible to see the entire query from your list of saved queries. To view a search query in its entirety, follow the steps below:

Step 1

To begin, click into the search bar.

Step 2

Click on the ‘Saved queries’ tab on the search page.

Step 3

Click on the ellipsis on the right side of the row for the search query you want to view.

Step 4

From the dropdown that appears, select ‘View query’

Step 5

You’ll now see your entire search query appear in a new window.

How to Delete a Search Query

When you need to remove a query you’re able to delete it from your list on the ‘Search queries’ page. Please note that in order to delete a saved query, you must be the creator. To do so, follow the steps below:

Step 1

To begin, click into the search bar.

Step 2

Click on the ‘Saved queries’ tab on the search page.

Step 3

Click on the ellipsis on the right side of the row for the search query you want to delete.

Step 4

From the dropdown that appears, select ‘Delete query’

Step 5

A confirmation window will now appear asking you to confirm that you would like to delete the query. To confirm and delete click the red ‘Delete’ button.
