How to Enable Versioning
With versioning enabled anytime an updated version of the document is synced to Onna it will create a new version of that document in the version history.
By default, a max of 100 version files will be kept per resource. However, if you’ve also enabled the source hold feature, there is no max for files included in a source hold. |
To enable versioning, follow the steps below:
Step 1
Navigate to the ‘Admin preferences’ page from the main menu (a). Then, click the ‘Configuration’ tab at the top of the screen (b).
Step 2
Once inside ‘Configuration’, click on the arrow next to ‘Advanced functionalities’ section (a) to see a list of advanced functionalities. From this list put a check mark next to ‘Versioning’ (b).
File versioning is now enabled for your site.
How to View and Download Past Versions
Step 1
To view the version history of a document, start by clicking on the ellipsis to the right of the document.
Step 2
From the dropdown that appears click ‘View details’
Step 3
In the details panel click on the ‘History’ tab.
Step 4
In the history details you’ll see the date and time of the current version (a) as well as a list of dates and times of past versions (b).
Step 5
To download any past version of a file, simply hover over the version you want to download and click the download icon to the right of the date/time.
Viewing Text Changes in Extracted Text
Step 1
To begin viewing text changes via the extracted text feature, click on the file name.
Step 2
Once inside the file viewing window you will first see the most recent version of the file (a). At the bottom of the screen you click on the ‘Extracted Text’ section (b) of the page.
Step 3
In the extracted text view you will see the version number, date, and time of the most current version of the file (a). Below that you will see a link that will allow you to ‘View version differences’ (b). Click that link.
Step 4
On the next screen you will click on the dropdown menu at the top of the screen.
Step 5
From the dropdown menu that appears, click the version you want to see text changes for.
Step 6
Once inside the version you will see the content changes made, in green (for additions) and red (for deletions) (a). In the bottom left corner of the screen you will see which version these text changes were from (b). Finally, in the bottom right corner of the screen you will see an option to download the version you’re viewing (c).
