The Usage metrics app provides a set of KPIs and metrics to gain insights about the usage in your platform.

The metrics availability depends on your role and on the resources you’re given access to.

Definitions of Reported Platform Metrics

Below is a list of the available platform metrics. It includes both the metrics you see in the UI and those available only on the downloaded CSV report.

Metric

Description

Total Current Storage

A current snapshot of the total data collected for the entire account. It includes all data collected by any user and by any connector.

This metric does not include the size of exports created in the account or the size of preservation sources as this data is already stored.

Total Processed Data

Processing consists in analyzing data collected to make it usable in the platform. It consists in extracting text out of images, PDFs, documents, and metadata for indexing. When the information is indexed, your data becomes searchable and exportable.

This metric includes all the data processing performed within your platform within the period selected in the UI.

For example, if you collect a 10 GBs ZIP file, after processing its size could increase to 15 GBs. That would be the size counted as the total processing.

Please note that there will be no processed data metric for preservation sources as this data has already been processed prior to being part of a preservation.

Total Unique Identities

Some connectors, such as Slack, can provide information on which users are members of external applications. This metric provides a count of unique active and inactive users related to the data collected. For example, with Slack, the count includes unique users who are members of messages and channels that were collected.

Onna has an identity mapping feature that links accounts in various application to the same person. If you collect from more than one application, users that have an account in each application will not be counted as duplicates.

Exports

Total number of active and inactive exports in the entire account. Deleted exports are not counted.

Site Manager Sites

If the Site manager app is enabled for the account, this metric counts the total number of child sites created under your parent account.

Sites that were shared with any users in your account from other Site managers are not included in this metric.

Admins

The total number of users with an admin role in the site you’re currently signed into.

Members

The total number of users with a member role in the site you’re currently signed into.

Guests

The total number of users with a guest role in the site you’re currently signed into.

Definitions of Reported Applications Metrics

Below is a list of the available applications metrics. It includes the ones you see in the UI and the ones available when you download the CSV report.

The content of the CSV report depends on your role

  • When you are an admin, it includes all the data in the platform

  • When you’re a member, it includes data that you created or that was shared with you

Metric

Description

Location

The name of the location where the data is hosted. It can be one of the following locations:

  • Any sources in My sources

  • A workspace (only active ones)

  • A preservation

Location Type

The type of location where the data is. It can be one of the following:

  • My Onna

  • Workspace

  • Preservation

Billing Number

A number used as a reference for billing purposes. It’s often used to bill other departments within your organization or external clients. For example, you can use it to bill for the data processed within a specific workspace.

Source Type

The type of connector used to create the source. For example, Slack or Dropbox.

Source Name

The name that the user gave to the source.

Owner

The user who created the resource.

Source

The type of connector used to collect the data.

Created On

The date when a collection was created.

Sync Mode

The mode used to collect data. For more information, see the “Onna Sync Modes” article.

Start Date

The initial date of the data to be collected. When it’s empty, the earliest data available is collected.

End Date

The final date of the data to be collected. When it’s empty, the collection will be ongoing, new data is collected as it becomes available.

Defined Custodians

When you create a collection and enter the custodians manually, this column displays the number of custodians in the collection.

Number of Resources

The total count of resources for the collection. The resource type depends on the application that data is collected from. It can be documents, images, conversations, and so on.

Total Current Storage

The size of the storage used by the collection. The metric is expressed in GBs.

Storage used by exports is not included in this metric.

Total Processing

This metric is affected by the date you select in the UI before downloading the report.
