eDiscovery professionals can leverage the power and scale of Reveal and other eDiscovery applications across the entire Electronic Discovery Reference Model (EDRM) life cycle through the Reveal Hold platform.

Purpose of the document

The purpose of this document is to explain the capabilities of the Reveal Hold Project Management module for end-users. It provides clear illustrations and a quick start workflow for the application.

Intended users

This user guide is meant for managers and executives of the legal department of an organization. There is a set of standard user roles defined in Reveal Hold. Custom user roles may also be defined based on client requirements. These user roles have different rights and access privileges depending on the module as outlined below.

Reveal Hold Standard User Roles

Legal User

Legal User is responsible for managing project and legal hold information and creating production requests. These users have full access to the Project and Legal hold modules and limited access to admin modules.

Legal Admin

Legal Admin has the same rights as Legal User and is assigned projects as a backup for Legal Users at the time of project creation.

eDiscuser

eDiscovery User is responsible for approving production requests for production set creation. These users have full access to Data Management, Process Management, and Hosting.

eDiscAdmin or eDiscManager

eDiscovery Admin is responsible for production set creation and the assigning of production requests. They have full access to Data Management, Process Management, and Hosting but can only view Project Management and Notices.

Admin

Admin is responsible for setting up user accounts, assigning user roles, and has full access to Admin modules.

Reveal Hold Custom User Roles

ProjectApprover

Project Approver can approve assigned projects and has access only to the Approval module.

LegalApprovalUser

The Legal Approval User has access rights of a Legal User with approval permission.

Superuser

The Superuser has full access to all the modules.

Outside Counsel

Outside Counsel will have limited access to the Reveal Hold modules. They can create and edit interview notes in the Legal Hold module.

Executive

Executive user has view access to the different Reveal Hold modules along with legal hold approval permission.

Reveal Hold has built-in mechanisms to govern access, data modification and approval permissions at various levels. This is meant to ensure that only the authorized users have access to a specific project, group of projects, or set of eDiscovery tasks pertaining to confidential investigations.

Project

A project refers to a legal project where the organization using Reveal Hold is one of the parties involved.

Project Type

Project type refers to the category to which the project belongs, e.g., Consumer Fraud, Environmental, or Labor & Employment.

CCD

Project Custodian Data Source:

In the Data Management module, separate records are created for each data source of a custodian. Each record is referred to as a Project Custodian Data Source or a CCD.

DSI

Data Source Identification:

DSI is the first step in Data Management, and it involves identification of data sources for custodians attached to a project and validating whether the location is accessible for data collection.

DST

Data Source Type:

DST refers to the different types of sources where data of an enterprise or individual is stored. Reveal Hold helps in data mapping and extracts data from these sources.

Entity

An entity refers to a business unit or association that has a unique and separate existence.

Export Set Barcode

When the Export Set process is run, all deduplicated files belonging to a volume on the server are tagged with an Export Set Barcode for further processing. The format for the Export Set Barcode is Project Prefix-Custodian ID-EXP-running serial number. (E.g., 8KYT-005-EXP-001)

Matter

Matter is a subject of consideration, a legal project, disagreement, dispute, or issue.

Volume Barcode

When collection for a CCD is completed, a Volume Barcode is generated and assigned to the collected data for all future identification. The format for Volume Barcode is Project Prefix-CustodianID-DataSourceTypeID-running serial number (e.g., MW1-001-001-005).

Custodian

A custodian is an employee who has administrative control of a document or electronic file: the custodian of an email is the owner of the mailbox that contains the message.

ECA

Early Case Assessment is the process of identifying and gathering potential evidence at the onset of a legal matter in order to estimate the risks and costs of pursuing a particular legal course of action.

eDiscovery

eDiscovery (or electronic discovery) is the process of identification, collection, review and production of electronically stored information in response to a request for production in a lawsuit or investigation.

ESI

Electronically stored information, according to the U.S. Federal Rules of Civil Procedure, is information created, manipulated, communicated, stored, and best utilized in digital form, requiring the use of computer hardware and software.

Legal Counsel

Lawyers who work in-house at organizations providing legal advice and guidance on matters related to law are known as legal counsel.

Legal Hold

A legal hold, also known as a litigation hold, is the process of preserving potentially relevant data during pending or active litigation and investigations.

Legal Hold Notice (LHN)

The Legal Hold Notice is a communication sent from legal counsel to employees or data owners of an organization to suspend the normal processing of records, such as recycling of backup tapes, to avoid spoliation of evidence.

Reveal Hold Overview

Reveal Hold is a web-based application that works in most web browsers. This means it does not require downloading or installation of the software. Google Chrome browser version 20.0.1130.1 or above is recommended, with cookies, pop-ups, and JavaScript enabled.

The licensed version of Reveal Hold contains a personalized application URL and login credentials for six (6) user roles.
