Tags may also be linked to analytics scores. Tags may be created and are managed under **Project Admin > Tags**. There are two principle components of tags addressed here: - **Tag Profile:** A tag profile is needed to build a tag form, give users access to tags (and optionally selected fields), and track review progress. Tag Profiles are added and edited atop the right-hand side of the Tags screen. - Each tag profile is associated with a set of users and/or user teams. - Each user or team may have access to more than one tag profile. - **Tag:** A Tag is a container of choices for a given subject. --- #### Video Tutorial [Create and Manage Tags](https://embed.app.guidde.com/playbooks/fo1pLuzynWG5B4sM5JVkt4?mode=videoOnly) 00:00: This video demonstrates how to configure tags, tag profiles, and tag panes within the 00:05: project admin area and how to manage access for users and teams. 00:11: To access the tag configuration page, make sure that you're in the project admin 00:15: section and then in the tags tab. Here you'll see that the page is broken up into 00:20: two sections. 00:21: The first section here allows you to configure the tags themselves. 00:24: You can create new tags and even create rules for your tags. 00:36: This right section is where you create and edit tag profiles and tag panes. 00:42: Before we go further, let's clarify the difference between a tag, a tag profile, and a 00:47: tag pane. 00:48: A tag is a container of choices. 00:52: You have the tag and then different choices below it. 00:57: It is used for categorizing documents and tracking review progress. 01:01: Tags can also be linked to analytical scores. 01:08: Next we have tag profiles. Tag profiles allow different teams and users within 01:14: your project to access certain tags. 01:16: You can't assign a tag to someone or make a tag visible on its own. 01:20: It must first be connected to a specific tag profile, 01:23: and then you can set the tag profile to be connected to a certain user or team. 01:29: Tag panes are ways to categorize different tags within a profile. 01:35: For example, in a first level review profile, you can add another pane 01:39: like confidentiality. 01:44: This allows you to organize your tags by placing them in different panes. 01:51: You can simply drag and drop tags. 01:54: Once someone has access to this first level review tag profile, they can access 01:59: these tags organized under these panes. 02:02: The first thing we're going to do is cover how to create a tag. 02:06: Click Add Tag and choices. 02:10: First, make sure to give your tag a name. 02:12: We're going to say Issue Type. 02:19: We have three options for the type of tag. 02:22: Let's create our choices. 02:24: For this example, we'll create a choice for Finance, legal, or copyright. 02:28: If multi-select is chosen, when someone uses this tag, they are permitted to select 02:33: more than one choice. 02:35: Then you have mutually exclusive, which means that someone can only choose one 02:39: particular choice. 02:40: Finally, tree allows you to put choices under other choices. 02:44: For example, if someone selects finance, they also have the option to sub-select 02:49: legal under that. 02:51: If you'd like to reorder your tags, simply use the grab handle. 02:55: Let's now explore additional configuration 02:57: options. Selecting Prediction Enabled connects the tag choice to Reveal's AI engine. 03:02: When a reviewer sets this tag choice, 03:04: it's used as training data to help the AI evaluate and score remaining documents. 03:09: You can learn more about AI tags and classifiers in the "Analytics and AI Basics" 03:14: Article. 03:15: Privileged flags a document as privileged when this tag choice is applied, marking 03:20: it for privilege classification during production. 03:29: Next you have this prediction AI access which determines whether prediction scores 03:33: are visible in the document viewer. 03:37: You can click this button and control which teams or users can see the AI's tag 03:41: predictions and scores. 03:43: Let's now cover these two options, updatable in review screen and recursive. 03:48: Updatable in review screen allows reviewers to add new tag choices on the fly 03:53: while coding a document, rather than being limited to the choices set by the admin. Usually 03:57: left unchecked so tag choices stay 04:00: controlled through a managed process 04:02: There is also an option to make this tag recursive and is only available on Tree 04:06: tags. 04:07: When enabled, selecting a child automatically applies it to the parent, 04:11: so reviewers don't have to check each nested level individually. 04:15: You also have a section for auto-update. This 04:17: means that if you tag a certain document with a certain tag choice, now all of the 04:21: family members tied to that document will also be tagged with that choice. 04:27: Once you've finished configuring your tag, click add. 04:31: We're now going to add our new tag to a tag profile. 04:35: To connect a tag to a profile, first 04:37: make sure you have the desired profile open 04:44: and then click the arrow next to the tag. 04:45: You can also drag and drop the tag into the profile. 04:49: To create a new tag profile, 04:50: click Add New Profile. 04:52: Give your profile a name. 04:57: You can then connect the profile to particular users and teams. 05:05: Our new profile has been created and now we can create pains to help organize the 05:09: profile. 05:15: Make sure that once you've configured your profile's as desired to select save. 05:18: Remember that you can always add tags to a pane either by selecting the tag and 05:23: clicking the arrow button or dragging and dropping the tag into the desired pane. 05:28: In this video we covered how to create and organize tags, 05:31: assign them to profiles and panes, and control user access through profile 05:35: configuration. 05:36: Thank you. --- ## Create Tags ![03 - 01 - Project Admin - Tags](https://5796933.fs1.hubspotusercontent-na1.net/hub/5796933/hubfs/DOCUMENTATION/ARTICLE%20SCREENSHOTS/03%20-%2001%20-%20Project%20Admin%20-%20Tags.png?width=1945&quality=high) 1. Login to Reveal as an Administrator. 2. Click **Admin** in the toolbar at left. 3. Project Admin will open in a new window. 4. Select **Tags**. 5. Use **Add Tag and Choices** to create a tag in the left panel of the screen. ![03 - 02 - Project Admin - Add Tag and Choices](https://5796933.fs1.hubspotusercontent-na1.net/hubfs/5796933/undefined-Jul-26-2022-09-16-06-45-PM.png) > [!NOTE] > Note > > When one or more Auto update options are enabled, the tag is automatically applied whenever a document containing the tag is opened. For example, if Family Members is enabled, opening a tagged document will automatically apply the tag to all documents in the same family group. 1. Provide a name for a new tag (the above illustration is for modifying an existing tag). 2. Reveal has three **Tag Types**: *Multi-Select*, *Mutually Exclusive* and *Tree*. - *Multi-Select* - Checkboxes - Allows users to select multiple choices for the Tag. - *Mutually Exclusive* - Radio Buttons - Only one button can be selected - *Tree* - Multi-Level Checkboxes - Multiple can be selected - Supports recursive option 3. Select **Add new choice** to enter the name of a selectable value under the tag. 1. The grab-handle at left is used for reordering tag choices. 2. Selecting *Prediction enabled* connects the tag to Reveal's AI engine to treat the setting of a tag choice by a reviewer as training for evaluating further documents. See [***Assigning Tag Visibility of the AI Score***](https://review-help.revealdata.com/en/Assigning-Tag-Visibility-of-the-AI-Score.html) for further details. 3. Selecting *Privileged* categorizes a document as privileged to facilitate that classification for production. 4. *Prediction AI Access* allows teams or users to have visibility on the correspondent AI tag flags and scores while viewing a document through the document viewer window. 5. *Updatable in the review screen* would allow modifications in the tag, for example, if an additional issue turned up it could be added directly as a choice. This is generally left unchecked so that all tag choices are the result of a managed process*.* 6. The administrator may optionally enable tag propagation by selecting which document relationship types should to be tagged automatically. This is done by checking one or more of the following types for *Auto update*: ![03 - 03 - Project Admin - Add Tag Custom Relationship](https://5796933.fs1.hubspotusercontent-na1.net/hub/5796933/hubfs/03%20-%2003%20-%20Project%20Admin%20-%20Add%20Tag%20Custom%20Relationship.png?width=659&quality=high) - *Family Members*, - *Duplicates*, - *Near Duplicates,* - *Email Threads*, and - *Custom Relationship* - This is defined by common values in a specified field. Selection here opens a drop list of available fields defined as Relational (see [](/document/preview/29726#UUID-53097b54-eb42-9ec5-2227-828f2e92df2f)[***Custom Relational Fields***](/reveal/docs/create-custom-relational-fields) for further details on this field type and its use). 6. Click **ADD** when complete (if modifying an existing tag, click **Update)**. 7. For information on the Tag Validation options under the **Rules** tab, see [***Tag Validation and Rules and Testing***](/reveal/docs/tag-validation-rules-set-test-and-use). 8. The other controls found in the upper right corner of each tag panel are: ![03 - 04 - Project Admin - Tag panel tools](https://5796933.fs1.hubspotusercontent-na1.net/hub/5796933/hubfs/03%20-%2004%20-%20Project%20Admin%20-%20Tag%20panel%20tools.png?width=199&quality=high) - *Send to currently selected pane in current tag profile* (in the right-hand panel of the Tags screen); the tag may also be dragged and dropped directly, where a red banner will show where the tag cannot be placed and the reason and a blue banner will indicate a proper placement. - *Shortcuts* to designate a keyboard shortcut for a tag. - *Add Tags and Choices.* - *Delete*, which will prompt for confirmation before removing the tag. > [!NOTE] > **Note** > > You will not be able to delete a Tag if it is in use. An in-use Tag is one that contains at least one tag which has been applied to a document. To delete an in-use Tag you will need to first un-tag all documents which have one of its choices set. ## Tag Profiles **Tag Profiles** are collections of Tag Panes (see below) focused on a review phase or subject and assigned to teams or individual users. Users or teams must be assigned to tag profiles in order for those tags to be visible in Document Viewer. > [!WARNING] > **Important** > > Tags are *only usable* if they are added to a tag profile. 1. To create a Tag Profile, click **Add new profile** at the top of the Tag Profiles panel at the right of the Tags screen. 2. Enter a name for the Tag Profile, which should describe its review phase or intended use. 3. Assign teams and users to the profile by moving them from the left (unassigned) side to the right (assigned) side of the popup window. You may enter filtering text to find and assign certain users or teams. 4. Click **CREATE**. 5. Click **Add Pane** just below the Tag Profile toolbar to create a blank pane for building the profile's Tag Form. There may be one or more Panes in a Profile; there may be more than one Tag in a Pane. 6. Give the Pane a name. 7. Tags (and Fields, accessed in the second tab of the Tags pane on left side of the Tags screen) may be dragged and dropped into it. See two examples below showing different Tag Types and Form configurations: *Standard First-Level Review with added Further Review Notes field*, and *Profile with multiple Tag Panes, including a prediction-enabled Mutually Exclusive tag and a Tree tag.* ![03 - 05 - Project Admin - Tag pane standard](https://5796933.fs1.hubspotusercontent-na1.net/hubfs/5796933/undefined-Jul-26-2022-09-16-07-47-PM.png) ![03 - 06 - Project Admin - Tag pane multi-type](https://5796933.fs1.hubspotusercontent-na1.net/hubfs/5796933/undefined-Jul-26-2022-09-16-06-95-PM.png) 8. Additional Panes may be added, and re-ordered using the Up and Down arrow buttons in the profile toolbar, for the profile's Tag Form. The tags may also be re-ordered within a Pane using the Up and Down arrow buttons in the Pane toolbar. 9. Options - You may set options on Tags or on Choices by clicking on them in a Tag Profiles Tag Pane. 1. *Tag Options*: - **Selection Required:** A choice must be made for this tag for coding to be completed. Reveal will not move to the next document until the selection is made for this tag. 2. *Choice Options:* - **Is Default:** It may be desirable in a review to pre-set a default and have reviewed only code exceptions. In such cases you may set the Is Default attribute to one or more Tag Choices. Is Default status is set by clicking on a Tag Choice once it is in a Tag Profile Pane. - **Reviewed Status:** In most document reviews, tags are used not only to categorize documents, but also to determine the review status of a document. Reviewed Status is set by clicking on a Tag Choice once it is in a Tag Profile Pane. For example, in a review for responsiveness, all documents with either a ‘*Non-Responsive*’ or a ‘*Responsive*’ tag are considered ‘reviewed’ and review complete. Reviewed status can also be associated with a Privilege tag. If selected, coding this tag will be reflected in the **Reviewed Workflow** filter added to the April 2024 release. 10. Clicking **Collapse All** at the top of the Tag Profiles panel will collapse the tags only. The panes will remain visible. When you create a tag profile, additional fields are now automatically generated to capture review metadata. This ensures that every tag profile is immediately equipped with the following fields: **First Reviewed User Field** - **Display Name:** The field name is created by concatenating the tag profile name with “ - First Reviewed User.” *Example:* For a tag profile named **Privilege Review**, the field is named **Privilege Review - First Reviewed User**. - **Field Type & Settings:** This is a single-value **text field** with a maximum length of 400 characters, which makes it sortable. - **Usage:** This field automatically captures the username of the user who first applies a tag (with Reviewed Status enabled) to a document within that tag profile. The username appears in both the document viewer and grid. **First Reviewed Date Field** - **Display Name:** The field name is generated by appending “ - First Reviewed Date” to the tag profile name. *Example:* For a tag profile named **Test**, the field becomes **Test - First Reviewed Date**. ![](https://cdn.us.document360.io/3e21d801-ca9f-4c51-93db-9cbd32741f3d/Images/Documentation/Tag-Profile-00.png) - **Field Type & Settings:** The field is created as a **Date** type, using all of the default field settings. - **Usage:** This field records the date when a document is first reviewed using a tag with Reviewed Status enabled for that specific tag profile. **How It Works** - **Automatic Field Creation:** When a tag profile is created, both the First Reviewed User and First Reviewed Date fields are generated automatically. - **Data Population:** - The **First Reviewed User** field is populated with the username of the first user to review a document (by applying a tag with Reviewed Status enabled) within that profile. *Example:* When a user applies a tag from the **Test** profile to a document—and that tag has **Reviewed Status** enabled—the system records the date from the first instance that a choice with **Reviewed Status** was applied. ![](https://cdn.us.document360.io/3e21d801-ca9f-4c51-93db-9cbd32741f3d/Images/Documentation/Tag-Profile-01.png) - The **First Reviewed Date** field captures the corresponding date of that initial review. This streamlines the workflow by ensuring that every tag profile is immediately linked with a review date, supporting better tracking and reporting. ## Keyboard Shortcuts Users can define keyboard shortcuts and associate them with any tag pane to make it easier for reviewers to apply common coding. The two-key shortcut can save the time required to position the pointer to click one or more tags in the pane while reviewing a document or apply the same tag to sequences of documents. > [!NOTE] > Note > > The same shortcut key sequence may be defined for more than one Tag. To define a shortcut: 1. Click on the keyboard icon within a tag pane. ![03 - 07 - Project Admin - Tag Keyboard shortcut setting](https://5796933.fs1.hubspotusercontent-na1.net/hub/5796933/hubfs/03%20-%2007%20-%20Project%20Admin%20-%20Tag%20Keyboard%20shortcut%20setting.png?width=805&quality=high) 2. If no shortcuts have been defined for this profile yet, you will see *<< New Shortcut >>* in the **Shortcut** box, or if prior shortcuts have been defined, click the plus sign ('**+**') to the right of the **Shortcut**. 3. Provide a descriptive **Name**. 4. Enter the **Keys** to be used in the shortcut sequence; using characters derived from the initials of the name is recommended. In the example below, entering ***f*** followed by ***d*** triggers the *Finance Doc* shortcut, which will set the *Finance* choice under *Issues* and turn off *Administrative* and *HR* and leave *Legal*. 5. Select the choices to be applied when the shortcut runs. In a mutually exclusive tag only one choice can be set to select. In a multi-select or tree tag shortcut definition the following settings may be toggled for each choice: - *Grey box* - do not change value of choice, leave as-is. - *Checkmark* - select this choice when shortcut is activated. - *[X]* - deselect this choice when the shortcut is activated. ![](https://cdn.us.document360.io/3e21d801-ca9f-4c51-93db-9cbd32741f3d/Images/Documentation/03%20-%2008%20-%20Project%20Admin%20-%20Tag%20Keyboard%20shortcut%20results-1.png) 6. Click **SAVE** when done, then **Close**. 7. To see a list of all shortcuts, in the Tags screen: ![03 - 09 - Project Admin - Show Tag Keyboard shortcuts](https://5796933.fs1.hubspotusercontent-na1.net/hub/5796933/hubfs/DOCUMENTATION/ARTICLE%20SCREENSHOTS/03%20-%2009%20-%20Project%20Admin%20-%20Show%20Tag%20Keyboard%20shortcuts.png?width=1521&quality=high) 1. Click the **View Shortcuts** button above the left side **Add Tags and Choice** panel. 2. You may choose to list only shortcuts defined for the current tag or for the tag pane in the selected Tag Profile. 3. While reviewing a document in the document review Viewer screen, you can press **?** in order to bring up this shortcut summary window. 4.
