Below are a few key terms worth knowing as you work through the Logikcull for Public Records request intake and fulfillment processes.

Term

Definition

Agency

The entity or organization that receives and fulfills records requests.

Agency Portal

The agency’s interface, where records officers receive, review, & process records requests.

Member

A specific user of the Agency Portal.

Public Portal

The public’s interface, where requestors submit records requests.

Records request

A formal request for government documents submitted through the portal. The portal handles FOIA, FOI, DSAR, and other general public records request types depending on your jurisdiction.

Records officer

The agency staff member responsible for reviewing and processing your request.

Release documents

Records that the agency has approved for download.

Requestor

The individual submitting the request.

Request status

The status of a request: submitted, under review, released, closed, etc.

Request stage

One of the five stages of the records request process: Submitted, Agency Review, Processing, Final Approval, and Released.

Tracking number

A unique ID (e.g. REQ-2026-A1B2C3D4) issued at submission. Requestors can use their tracking number to check the status of their request at any time.
