The Individual Request view is the central workspace for managing a single public records request. From here, agency staff can review request details, communicate with the requester, and advance the request through each stage of the fulfillment lifecycle.

Opening a request

From the Agency Dashboard, click View → on any request row to open it.

Request header

The header identifies the request and provides top-level controls.

  • Tracking ID — a unique serial number for the request (e.g. FOIA-2026-67D37145)

  • Status badge — the current stage of the request (e.g. UNDER REVIEW)

  • Submission date — the date the request was received

Available actions in the header:

  • Close Request — closes the request.

  • ← Back to Dashboard — returns to the Agency Dashboard without closing the request.

The left navigation panel provides access to all panels within the view:

Stage progress

The stage progress bar shows where the request is in the fulfillment lifecycle and what action is required next.

The five stages are:

  1. Submitted — the request has been received by the agency.

  2. Agency Review — the agency is determining whether to accept or decline the request.

  3. Processing — the agency is searching for, reviewing, and preparing responsive records.

  4. Final Approval — the agency is conducting a final review before releasing records to the requester.

  5. Released — records have been delivered to the requester via the portal.

The Next step prompt bar appears below the stage progress bar and displays the required action for the current stage:

  • Agency Review — "Send a response to accept or decline this request."

  • Processing — "Awaiting Logikcull production. Documents will appear when ready."

Deadline

The Deadline panel displays the key dates for the request and allows staff to manage the response timeline.

  • Received — the date the request was submitted. Editable via the pencil icon.

  • Deadline — the date by which the agency must respond. Displays a status badge: On track (green), Due soon (orange), or Overdue (pink/red).

Apply 10-day extension — extends the response deadline by 10 days.

Requester Information

The Requester Information panel in the right sidebar shows the contact details of the person who submitted the request.

  • Name — the requester's full name.

  • Email — the requester's email address.

  • Organization — the requester's organization, if provided at submission.

Assignment

The Assignment panel in the right sidebar shows which agency staff members are responsible for handling the request.

  • Assigned Officers — shows avatar chips for each assigned officer. Click the × on a chip to remove an officer.

  • + Add officer — assigns an additional officer to the request.
